Privacy notice and terms
Countersigned HR is an independent site. We decide how the information below is used (the data controller). Questions, or a request for a copy of your information or to have it deleted: hello@countersignedhr.co.uk.

What stays in your browser
The case plan and the notice-date calculator work out their answers in your browser. Apart from the notes described below and the broad counts described further down, what you tell them isn’t sent to us.
The only things we store are a reservation, if you make one, and the anonymous visit counts described further down.
The notes on your case plan
When your case plan is shown, and it hasn’t stopped for an adviser, your browser asks our server for two to four notes on your situation. It sends what happened (the option you picked), any earlier warnings, what the contract says about notice, whether the employee could claim unfair dismissal on the earliest date, and the sentence you typed in the optional box. The box asks you to leave out names. It also sends your two yes or no answers about health and complaints, which are always “no” when notes are written. Nothing else goes: no date, and no name or email address.
Our server passes this to an AI model, Anthropic’s Claude, through OpenRouter, and the model writes the notes. The model runs on servers that keep neither what you send nor the notes (zero data retention), and what you send isn’t used to train AI models.
We don’t store what you send or the notes that come back. Our server logs only the outcome of the call, such as a status code, never your sentence or the notes. If your sentence points to illness, pregnancy, a complaint or something like it, the plan stops there and tells you to talk to an adviser first, and your browser asks for no notes. Our server checks for the same words too, and never passes them on. To stop misuse, the server also keeps a count of requests per IP address in its memory until it restarts. The count isn’t saved to a database.
If you reserve a case
A reservation keeps what you type into the form:
- your name, email address and business name;
- your kind of business, and how many staff you have as a band;
- your HR provider now, and the date its contract renews, if you give one;
- how soon you need help.
It also keeps when you reserved, whether you did it from the case plan or the notice-date calculator, and where you came from: the website that sent you, if there was one, and the first page you opened on this site, with anything added to its address, such as utm_source.
It is stored in a database run by Supabase, in Zurich, Switzerland. The UK’s adequacy regulations recognise Switzerland as protecting personal data to the UK’s standard. Each reservation also sends an alert email to us through Resend, an email service, with the same details in it. The site runs on Vercel.
We read each reservation and reply to it. Nobody else sees one, except the services that store it, send the alert and run the site. We don’t sell it or share it. We use it to reply to you, and to count how many people have asked, so we can judge whether to go ahead with the service.
We delete reservations by 15 August 2027, six months after 15 February 2027, the day we decide whether to go ahead. We delete the alert emails by the same date. Resend, which sends them, keeps its own copy under its own retention policy. If you have become a client by then, we keep your details as a client instead, and we’ll tell you how when you sign up. You can ask us to delete your reservation and its alert email sooner.
Visit counts and cookies
We count visits and a few steps: starting a case plan, being shown one, using the notice-date calculator, copying or downloading its letter, and starting or finishing a reservation. Each count holds the step’s name, the day and time, the page, and the website that sent you. It never holds a date you entered, anything you typed, your name, your email address or your IP address. Where it carries a detail, that is a choice from a list or a broad band.
A case plan count says whether the plan stopped for a red flag: the health or complaint questions, or something in your sentence. If it didn’t stop, the count also says whether the employee could claim unfair dismissal on the earliest date. Either way, it says how far off the six-month point is, in a band such as more than 90 days. It never holds the answers behind these. A calculator count says which provider you chose and whether your notice date falls within the next 12 months; a letter count says only which provider. Starting a reservation records only which form it was: a case, or a switch from your HR provider. Finishing one also records your kind of business, your number of staff as a band and how soon you need help.
We use no cookies. Your browser keeps a note of where you came from for as long as the tab is open (session storage, which isn’t a cookie). It reaches us only with a count or a reservation.
If you open any page on this site with ?notrack on the end of its address, your browser saves small markers in its local storage, and visits from that browser aren’t counted. That is how the owner leaves their own visits out. Nothing is sent to us when it saves, and ?track removes it.
We also record how pages are used (where people click and scroll, and what the page shows) with PostHog, in the EU, to find the parts that confuse people. Anything you type is hidden in these recordings, pages with your saved details or documents aren’t recorded, and recording uses no cookies. Recordings are deleted within 90 days.
Why we can use your information
We rely on our legitimate interest in replying to you and running this site to keep reservations and count visits. When you ask for notes, we send your sentence because you asked us to.
Where it’s processed
Some of the services we use are based in the United States, so information can be processed there: Vercel, which hosts the site; Resend, which sends our alert emails; and OpenRouter, which passes your notes request to the AI model.
Your rights
You can ask us for a copy of what we hold about you, to correct it, or to delete it. Email hello@countersignedhr.co.uk, and we’ll reply within a month. We don’t keep your case-plan or calculator answers, so there is nothing to ask for there.
If you’re unhappy with how we’ve used your information, you can complain to the Information Commissioner’s Office (ico.org.uk).
Terms of use
Information, not legal advice. The case plan and the notice-date calculator apply the Acas Code of Practice, GOV.UK guidance and each provider’s published terms to the dates you give. They set out what those say for your dates. They don’t tell you what to decide. You decide, and you are responsible for what you do next. Check any date against your own contract. If you’re unsure, talk to an adviser, or call the Acas helpline, free, on 0300 123 1100.
We are not solicitors and don’t represent anyone at a tribunal.
Nothing is for sale yet. The prices on this site are what we plan to charge once we open cases. A reservation is free, takes no payment details and commits nobody: you don’t have to buy anything, and we don’t have to open cases.
Countersigned HR isn’t connected to Peninsula, Citation, BrightHR, Croner, Avensure or WorkNest. We name them so you can choose yours and, where they publish them, to set out their terms.
